Set up personnel certification templates
Certification templates manage all the certifications required for specific groups of personnel, such as all deckhands. You build personnel certification templates on the Personnel Certifications tab in Templates.
Assign a position
A position represents a group of your personnel. When you build a certifications template for your personnel, you must indicate which position it applies to. For example, if you create a certifications template for your deckhands that lists the Transportation Worker Identification Credential (TWIC) and Occupational First Aid - Level 1, then everyone who has been assigned the deckhand position will be required to have those two certifications.
To assign a position, select a template from the Personnel Certifications tab in Templates, then select a position from the Position list.
NoteIf you don't select a position for a certifications template, it will apply to all your active employees by default. This means that all your active employees will be required to have all the certifications listed in that template.
Assign responsible parties
Any responsible parties who can log in to Helm CONNECT, and who have a valid email address in the system, will receive email notifications when the following activities occur:
- If any certification in the template is updated when it's overdue.
- If any certification in the template is updated when it's due in 90 days or less.
- When any certification in the template reaches each of its lead time milestones. See Set lead times.
Set lead times
You can set optional lead times for each item in a certifications template. We've provided options to set the lead times for 30 days, 60 days, or 90 days as well as a custom field where you can enter a unique milestone. You can also choose not to set any lead time at all for a particular item.
