Manage asset types
Asset types do a lot of work throughout Helm CONNECT and are found within most product lines. You will encounter asset types when you are first setting up your system and performing your daily activities.
In the Asset Certifications module, asset types control how asset certification templates are applied to groups of assets.
In Helm CONNECT Maintenance, asset types:
- Filter the list of parts available to be assigned to an asset
- Control which parts will show up as options for requisition line items
- Control which parts show up as options for requisition templates
- Control which parts show up as options for the part usage item types in maintenance templates
In Helm CONNECT Personnel, asset types:
- Configure which default fields and custom fields are visible and/or required in timesheets
- Control approval policies on shore for crew changes and timesheet entries
In Reporting, asset types appear as a filter in several key reports.
Note Asset types are not the same as resource types, which are only used in Helm CONNECT Jobs. To learn more about resource types, see Resources.
Create a new asset type
When you first set up Helm CONNECT, you will typically add asset types on the Setup > Operations > Asset Types tab. If you need to add a new asset type later, however, you can also do so on the Management > Assets > Assets > Details sub-tab for both existing assets or newly created ones.
To create a new asset type in Setup
- Go to the Setup > Operations > Asset Types tab.
- Click New Asset Type.
- In the Name field, type the full name of the new asset type.
- (Optional) In the Short Name field, type an abbreviated name or acronym for the new asset type.
Note The Active check box is selected by default.
- Click Save Changes.
- Click the return icon to return to the Asset Types tab list view. The new asset type now appears in the list.
To create a new asset type in Management > Assets
- Go to the Management > Assets > Assets tab.
- Click the required asset card.
- On the Details sub-tab, click Edit.
- In the Asset Types field, type the asset type name. You'll see a red New tag beside the name as you type.
- Click Enter.
- Click Save. The new asset type is displayed in the Asset Types field. You'll also see it in the list on the Setup > Operations > Asset Types tab.
Manage existing asset types
The Setup > Operations > Asset Types tab is the only location to edit or delete asset types. This is because changing or deleting an asset type can impact many different areas in the system. Since the number of people who can access the Setup menu items tends to be limited, this helps prevent unintended changes or deletions.
To edit an existing asset type
- Go to the Setup> Operations > Asset Types tab.
- Click the asset type that you want to edit, then click Edit.
- Edit the asset type information as required.
Note To make an asset type inactive, clear the Active check box.
- Click Save Changes.
Note
- An inactive asset type will remain in the system, but you won't be able to apply it to any assets.
- When you make an existing asset type inactive, the asset type name will show '(Inactive).'
To delete an asset type
If you attempt to delete an asset type that is in use, you'll see a warning.
- Go to the Setup > Operations > Asset Types tab.
- Click the asset type you want to delete.
- Click Delete. In the confirmation message, click Delete again. If the asset type is in use, another warning will appear, listing where the asset type is in use. Use caution when deleting asset types because they may affect other areas of Helm CONNECT. Helm CONNECT will warn you if an asset type is in use, but it will not stop you from deleting it.
Important noteThis warning doesn't currently include features related to Helm CONNECT Personnel. If you subscribe to Helm CONNECT Personnel, please use caution when deleting asset types.
- To delete the asset type anyway, click Delete. Otherwise, click Cancel.
Permission settings for asset types
For a user to access the Asset Types tab, the user's role (Setup > Users > Roles) must include the following permission settings:
