Version 1.14: Updates to checklists and forms reports

As part of our continuing improvements to reporting, we updated the Inspection Checklists, Inventory Checklists, Maintenance Checklists, and Forms reports in Version 1.14. Here's what changed:

  • The Forms reports can now be filtered by different date types, such as Created Date or Finished Date, plus more.
  • All these new reports are now also controlled by division based on your user profile, so you see data only for assets in the divisions that you have permission to access.
  • Data security by division, combined with our ongoing database improvements, makes the report generation faster and more reliable for these reports.
  • Maintenance Checklists reports and Inventory Checklists reports can now be filtered by Asset, Asset Type, Division and Status.

    NOTEIf you use the Division filter when building a report, you'll see results only for assets in that division and below.

  • The new data sources used by these reports generate results more quickly because they take advantage of our database improvements.
  • We added key data fields to the data sources for all of these reports and removed fields that weren't relevant. This means that the data available in the report has changed.
  • We also streamlined the field selection section in the report builder so there aren't so many nested levels. This means that some of the field labels (which appear as column headings in the report) have changed.

Remember, any reports you generated using previous versions of these data sources will be migrated to use the new versions, so you won't lose any data. If you have any questions about these new report filters and data sources, please contact your account manager.

About divisional security by user profile

Divisions—which are defined in your user profile—control the information you can see in Helm CONNECT. These new data sources control access to data based on your division, so you see data only for assets in the divisions that you have permission to access. These new data sources control access in a specific way—up/down—which means you can see data for assets in your own division and below, plus data for assets in divisions above you, but not data for assets in other branches.

ExampleLet's say your company has a North America division with Canada and US divisions below it. If you're in the Canada division, you'll see data for assets in the Canada division and the North America division when generating a report, but not data for US assets, because that data is in a different branch. The only exception to this is corrective actions. When corrective actions aren't associated with a specific asset, they show up in the report for users in all divisions because they don't have any attached asset division information.

NOTENot every data source restricts data in the same way as the new data sources. This is by design because different reports use different data for different purposes.
