Crew Certifications: Set Up Certification Types
Certification types are the specific certifications your crew can hold, like a TWIC card or a Master 500 Gross Tonnage. Each type belongs to one of your categories and controls how that certification behaves: what's filled in when it's added to someone, whether the crew member gets reminders before it expires, who issues it, and which other certifications count as equivalent. Setting up your types is the second step, after your categories.

What Each Setting Controls
When you create a type, these settings control how that certification behaves once it's in use.
The checkbox columns:
- Require Asset: the certification must be tied to a specific asset when it's added.
- Email Crew: the crew member gets email reminders as the certification approaches expiry.
- Require Documentation: supporting documentation must be attached when it's added.
- Require Expiration: an expiry date must be entered when it's added.
- Required to Operate: flags the certification as essential for sailing.
The side panel:
- Description: a short description of the certification type.
- Equivalencies: other certification types that satisfy this one.
- Issuer: who issues the certification.
- Lead Times: how many days before expiry to send reminders.
NoteEquivalencies are direct. If you set Master 150 as equivalent to Master 500, holding a Master 150 satisfies a Master 500 requirement, but it won't automatically satisfy a third certification unless you set that equivalency too.
Set Up Certification Types
You can set up your certification types on the Management > Certifications > Certification Types tab. Each type belongs to a category, and there's always an empty row at the bottom of the list for adding a new one.
To create a certification type
- Go to the Management > Certifications > Certification Types tab.
- In the empty row at the bottom of the list, select a Category from the list.
- In the Name column, enter a name for the type, for example, "Master 500 Gross Tonnage." The side panel opens on the right, where you can add more details.
- (Optional) Select the checkbox columns you want for this type: Require Asset, Email Crew, Require Documentation, Require Expiration, or Required to Operate.
- (Optional) In the side panel, add a Description, Equivalencies, an Issuer, or Lead Times (click Add Lead Time and enter the number of days before expiry; repeat for more, and use the Delete icon to remove one).
- Click the Save icon (the disk icon at the top right of the tab) to save your changes.
To edit a certification type
- Go to the Management > Certifications > Certification Types tab.
- Double-click the type's name to open it, then change the name, its category, its checkboxes, or the details in the side panel.
- Click the Save icon to save your changes.
To remove a certification type
- Go to the Management > Certifications > Certification Types tab.
- Click the Remove icon (⊖) to the left of the type you want to remove.
- Click the Save icon to save your changes.
NoteTo undo changes you haven't saved yet, click the Discard icon (the undo arrow at the top right of the tab).
