Crew Certifications: Set Up Responsible Parties
Responsible parties are the people who get an email reminder when one of your crew's certifications is coming up for renewal. Assigning them makes sure the right person hears about a renewal in good time, before it lapses and affects who can sail. You can share the work, too. Assign more than one person to the same certification type, or split the reminders by lead time so different people cover different points in the countdown.
Reminder emails follow your division structure. A responsible party gets reminders only about crew in their own division and in the divisions above and below it, not about crew in other divisions. There's nothing extra to set up.

Assign and Manage Responsible Parties
You can set up responsible parties on the Management > Certifications > Responsible Parties tab. Each row pairs one person with one certification type and the reminders they're responsible for.
To assign a responsible party
- Go to the Management > Certifications > Responsible Parties tab.
- From the Responsible list, select the person who should receive the reminders.
- From the Cert Types list, select the certification type they're responsible for.
- From the Lead Times list, select which of that certification type's reminders they should receive, for example, the 90-day notice. The list shows only the lead times set on the certification type you chose.
- Click the Save icon (the disk icon at the top right of the tab) to save your changes.
To share responsibility for a certification type, add a separate row for each person. You can split it by lead time, so one person handles the 90-day notice while another handles the 30-day and 60-day notices.
To remove a responsible party
- Go to the Management > Certifications > Responsible Parties tab.
- Click the Remove icon (⊖) to the left of the responsible party you want to remove.
- Click the Save icon to save your changes.
NoteTo undo changes you haven't saved yet, click the Discard icon (the undo arrow at the top right of the tab).
