Crew Scheduling: Trigger Forms from Planned Crew Changes
Many companies require their crews to fill out a form each time there's a crew change, such as a safety orientation checklist for crew joining the asset. If you subscribe to Helm CONNECT Compliance, you can set up a form template so that a copy of the form is added automatically to the asset's To Do list each time the crew complete a planned crew change.
NoteA planned crew change triggers the form only when the crew complete it on the Onboard > Personnel > Crew Changes tab. Unplanned crew changes, which the crew record onboard by clicking Single Crew Change or Multi Crew Changes, don't trigger forms.
How Crew Change Forms Work
When the crew complete a planned crew change on the Onboard > Personnel > Crew Changes tab, Helm CONNECT adds a copy of the form for that asset. The crew can find it in two places:
- In the To Do list of the work space you selected, on the Onboard > Logs tab.
- In the In Progress section of the Onboard > Forms > Library tab.
Keep in mind:
- One copy of the form is added for the whole crew change, not one for each crew member.
- The Crew Change Type list has only one option, Planned Crew Change, so you can't set up one form for crew coming on and a different form for crew going off.
Set Up a Form to Be Triggered by Planned Crew Changes
You can add a crew change trigger when you build a new form template or edit an existing one. To learn more about building form templates, see "Build forms templates."
To set up a form to be triggered by planned crew changes
- Go to the Setup > Templates > Forms tab, then either click New Template or select an existing template and click Edit.
- In the Assets field, select the assets that should get this form.
- From the Crew Change Type list, select Planned Crew Change.
The Schedule and Event Type fields become unavailable, because a form can use only one type of trigger.
You need the Personnel > Settings > Crew Change Types In Form Templates permission to see the Crew Change Type field.
- (Optional) To add a grace period to the form's due date, click Add Grace Period, enter a number, select Days or Hours, then click Save.
- In the Spaces field, select at least one work space, such as Wheelhouse. The form appears in the To Do list of the spaces you select.
- Click Publish, then click Publish again to confirm.
