Crew Scheduling: Set Up Crew Change Fields
You can choose which standard fields appear when your team creates or completes a crew change. You can also add your own custom fields if there's more information you'd like to capture, such as overtime hours. You can use custom field values in your payroll schemes and in reports that use the Crew Changes data source.
You set up these fields on the Setup > Personnel > Schedule Custom Fields tab, which has two sub-tabs:
- Shore: For crew changes created on the Personnel > Schedule > Crew Changes tab. Custom fields appear when you expand a crew member's position row.
- Onboard: For crew changes completed on the Onboard > Personnel > Crew Changes tab, whether someone completes a planned crew change or uses Single Crew Change or Multi Crew Changes.
Each sub-tab has its own settings. For example, hiding a field or adding a custom field on the Shore sub-tab doesn't change what appears onboard.
Show or Hide Standard Fields
All the standard fields are shown by default, and you can hide any you don't use. The Shore sub-tab lists Cost Center, Description, Location, and Position Group. The Onboard sub-tab lists the same fields plus Note (Single Crew Change), which appears only in the Single Crew Change window.
To show or hide standard fields
- Go to the Setup > Personnel > Schedule Custom Fields tab.
- Click Shore or Onboard.
- Under Required Fields, from the list to the right of each field, select Show or Hide.
- Click Save Changes.
Add Custom Fields
You can add custom fields to crew changes on shore, onboard, or both.
To add a custom field
- Go to the Setup > Personnel > Schedule Custom Fields tab.
- Click Shore or Onboard.
- Under Custom Fields, drag the type of field you want, such as Text, Number, or Check Box, from the list on the left into the list of fields.
- Click the new field's name box to display a list of existing fields that match the type of field you're adding, then do one of the following:
- To use an existing field, select it from the list.
- To create a new field, do the following:
- Click + Custom Field.
- In the New Custom Field window, enter a Name for the field.
- (Optional) Enter a Key. If you leave it blank, Helm CONNECT creates one from the name.
- Click Save Changes.
- From the list to the right of the field, select Not required or Always required. If you choose Always required, a crew change can't be saved until the field is filled in.
- (Optional) Repeat steps 3 to 5 to add more custom fields.
- Click Save Changes.
To remove a custom field, click the remove icon (X) to its right, then click Save Changes. The field is removed from that sub-tab, but it stays in the list of existing fields if you want to add it again later.
Note You can edit or delete existing custom fields only from the Setup > Operations > Custom Fields tab.
