Payroll: Manage Payroll Classes
Once you've set up your payroll classes, you can use the Setup > Payroll > Payroll Classes tab to find, duplicate, deactivate, and delete them as your needs change.
For information on setting up payroll classes, see "Payroll: Set Up Payroll Classes."
Find a Payroll Class
The Setup > Payroll > Payroll Classes tab gives you two ways to find a payroll class: the Payroll Classes filter at the top of the tab and the search field next to it.
To find a payroll class
- Go to the Setup > Payroll > Payroll Classes tab.
- (Optional) From the Payroll Classes filter, select one of the following:
- All: Display all payroll classes, active and inactive.
- Only Active: Display only active payroll classes.
- Only Inactive: Display only inactive payroll classes.
- (Optional) In the Find a payroll class field, enter all or part of a payroll class name or an accounting code.
Duplicate a Payroll Class
Duplicating a payroll class is helpful when you need to create one that's similar to an existing one. Payroll classes often share the same configuration (such as earning codes and effective dates) and differ only in rates and names. Duplicating an existing payroll class can save you time during setup.
The new payroll class includes all the configuration from the original, and its name has "-Duplicate" appended to it.
To duplicate a payroll class
- Go to the Setup > Payroll > Payroll Classes tab.
- (Optional) Use the Payroll Classes filter or the search field to narrow the list.
- Select the payroll class you want to duplicate.
- Click Duplicate.
- Click Edit, then update the Name and any other fields you want to change.
- Click Save Changes.
Make a Payroll Class Inactive
If you have a payroll class that you no longer use, you can make it inactive instead of deleting it. This is especially useful when you have payroll classes for individual crew members. If someone leaves the organization, you can deactivate their payroll class to keep it out of payroll class lists, but still have it available if they return.
Inactive payroll classes don't appear in payroll class lists throughout the system. However, if an inactive payroll class is already assigned to a field, it stays in that field with "(Inactive)" appended to its name (for example, "Deckhand 1 (Inactive)"). Making a payroll class inactive doesn't affect any existing payroll calculations.
To make a payroll class inactive
- Go to the Setup > Payroll > Payroll Classes tab.
- (Optional) Use the Payroll Classes filter or the search field to narrow the list.
- Select the payroll class you want to make inactive.
- Click Edit.
- Clear the Active checkbox.
- Click Save Changes.
To reactivate a payroll class
- Go to the Setup > Payroll > Payroll Classes tab.
- (Optional) Use the Payroll Classes filter or the search field to narrow the list.
- Select the payroll class you want to reactivate.
- Click Edit.
- Select the Active checkbox.
- Click Save Changes.
Delete a Payroll Class
If you no longer need a payroll class, you can permanently delete it. Deleted payroll classes don't appear in payroll class lists throughout the system. However, if a deleted payroll class is already assigned to a field, it stays in that field with "(Deleted)" appended to its name (for example, "Deckhand 1 (Deleted)"). Deleting a payroll class doesn't affect any existing payroll calculations.
NoteIf you may need a payroll class again in the future, we suggest making it inactive instead.
To delete a payroll class
- Go to the Setup > Payroll > Payroll Classes tab.
- (Optional) Use the Payroll Classes filter or the search field to narrow the list.
- Select the payroll class you want to delete.
- Click Delete.
- In the Delete this payroll class? confirmation window, click Delete.
