Crew Certifications: Review Your Crew's Certifications
Keeping your crew compliant starts with a clear picture of where everyone stands. The Crew Certifications tab brings every crew member's certifications together in one place, so you can see at a glance who's fully covered, who's missing something, and whose certifications are coming due. From here you can filter down to just the gaps that need action, and set the view up the way you like to work.
You'll do this on the Management > Certifications > Crew Certifications tab.
See What Your Crew Holds
The tab lists your crew's certifications. Use the status toggle to change which certifications you see:
- All: every certification, whether it's on file or still missing.
- On File: only the certifications your crew actually hold.
- Missing: only the certifications someone is required to have but hasn't submitted yet, so you can see your compliance gaps right away.
Three views sit alongside the status toggle:
- Active: the certifications your crew currently hold or still need. This is your everyday working view.
- Requests: certifications your crew have submitted and are waiting for a decision. To work through these, see "Crew Certifications: Approve or Deny Certification Requests."
- History: a record of past certifications, including expired and replaced ones.
Across the top of the tab, an expiry bar groups certifications by how soon they expire, from expired through to expiring in 90 or more days, so you can spot renewals before anything lapses.
Focus on the Gaps That Matter
When a crew member holds a certification that counts in place of another one, Helm CONNECT recognizes it, so a requirement that's genuinely covered isn't flagged as missing. This keeps your compliance view accurate instead of showing false gaps. These equivalencies are set up on your certification types. To configure them, see "Crew Certifications: Set Up Certification Types."
You'll see equivalencies at work in a few places on this tab:
- A Satisfied indicator (a link icon) marks a certification whose requirement is met by an equivalent. Hover over it to see which certification is covering the requirement and when that certification expires.
- When you select the certification, a banner at the top of the side panel explains its equivalency status. It reads "Satisfied by an equivalent" when another certification is covering this requirement, and names that certification and its expiry date. It reads "Satisfies requirements for" when this certification is the one doing the covering, and lists the types it covers.
- The Equivalency filter lets you concentrate on real gaps. Choose Hide satisfied to drop the certifications already covered by an equivalent, or Show only satisfied to see just those.
When no equivalency filter is applied, the expiry bar also notes how many certifications in each window are already satisfied, for example "Expiring in less than 30 days (2 satisfied)," so a count of upcoming expiries doesn't overstate your actual workload.
To hide certifications already covered by an equivalent
- Go to the Management > Certifications > Crew Certifications tab.
- Click the Filter icon (the funnel at the top left of the tab) to open the Filters window.
- From the Equivalency list, select Hide satisfied.
- Click Submit.
Set Up the View You Like
You can arrange the columns to match how you work, and Helm CONNECT saves your layout automatically. Your column order, which columns are shown or hidden, and your sort order are all remembered, so the tab looks the way you left it when you come back. The Active, Requests, or History view you were last in is remembered too.
These preferences are saved in your browser, so they're specific to that browser on that computer. If you clear your browsing data or switch to a different browser, the tab goes back to its default layout.
If you want a clean slate, the View Settings icon (the gear at the top right of the tab) opens a Column Visibility menu where you can start over.
To reset your columns to the default
- Go to the Management > Certifications > Crew Certifications tab.
- Click the View Settings icon (the gear at the top right of the tab).
- Click Reset Columns.
