Crew Scheduling: Complete Crew Changes on the Crew Changes Tab
When crew join or leave an asset, the crew onboard complete the crew change on the Onboard > Personnel > Crew Changes tab by entering the actual date and time each person crewed on or off. You can complete a crew change that shore planned and published to your asset. You can also record an unplanned crew change for one crew member or for several at once. If you subscribe to the Logbook module, you can also do this from the Logbook tab. See "Logbook: Complete Crew Changes from the Logbook Tab."
As soon as you save a completed crew change, the asset's current crew and the schedule are updated. If your approval policy requires shore approval, the crew change appears on the Pending tab on shore until someone approves or denies it. For more about approval policies, see "Crew Scheduling: Set Up Approval Policies." To correct a crew change after you've saved it, see "Crew Scheduling: Edit Completed Crew Changes." To correct the details of a crew member who's onboard now, see "Crew Scheduling: Edit Current Crew on the Crew Changes Tab."
Depending on how your company has set things up, you might not see every field described in this article, and you might see others.
Complete a Planned Crew Change
Crew changes that shore has published to your asset are listed on the Onboard > Personnel > Crew Changes tab under Next planned crew change and Upcoming planned crew changes.
To complete a planned crew change
- Go to the Onboard > Personnel > Crew Changes tab.
- From the Asset list, select your asset.
- Click the crew change you want to complete.
- (Optional) Edit the crew change if needed, for example to add or remove crew members or positions. Every position needs a crew member before you can save, so remove any position no one is filling.
- Enter the actual date and time for each crew member by doing one of the following:
- To use the same date and time for everyone, enter it in the Actual Date and Time fields at the top, then click Set All. To use it for only the crew coming on or only the crew going off, click Set All Crew On or Set All Crew Off instead.
- Enter a date and time in the Actual Date and Time fields on each crew member's row.
You can't crew someone on more than 4 hours ahead of the current time.
- (Optional) Click the notes icon to add a note about a crew member. Shore can review the notes before approving the crew change.
- Click Save.
Complete a Single Crew Change
If someone crews on or off without a planned crew change, you can record it with Single Crew Change.
To complete a single crew change
- Go to the Onboard > Personnel > Crew Changes tab.
- From the Asset list, select your asset.
- Click Single Crew Change.
- Under Type of Crew Change, select Crew On or Crew Off.
- In the Time and date fields, enter when the crew member crewed on or off.
- From the Choose Crew Member list, select the crew member. For a crew off, the list shows only the crew who are onboard at the time and date you entered.
- For a crew on, complete the fields that appear, such as Position, Cost Center, and Position Group.
- (Optional) In the Note field, enter a note about the crew change.
- (Optional) If you have more crew changes to record, select Stay Open. When you save, the window stays open and keeps the same type of crew change and time and date, so you can enter the next crew member.
- Click Save.
Complete a Multi Crew Change
When several people crew on or off at the same time, you can use Multi Crew Changes to record them all at once. You only need to enter details such as the location and description once.
To complete a multi crew change
- Go to the Onboard > Personnel > Crew Changes tab.
- From the Asset list, select your asset.
- Click Multi Crew Changes.
- (Optional) From the Location list, select where the crew change takes place.
- (Optional) In the Description field, enter a description of the crew change.
- To crew people on, select a crew member from the Crew list for each position under Crew On. If no positions are listed, or you need more, use Add Crew, Add Position, or Add Position Group. When you choose a crew member, their assigned position fills in, and you can change it if needed. Every position needs a crew member before you can save, so remove any position no one is filling.
- To crew people off, do one of the following under Crew Off:
- Click Current Crew to crew off everyone who is onboard the asset right now.
- Click Last Crew Change to crew off everyone who crewed on during the last crew change.
- Select the checkbox next to each crew member you want to crew off.
- Enter the actual dates and times, the same way you would for a planned crew change.
- To enter more details for a crew member, click the double arrow icon on their row.
- Click Save.
NoteIf "This person's schedule may overlap with planned or completed crew change(s)" appears under a crew member's name, check their other crew changes on that date before you save.
