Crew Scheduling: Review Certification and Safe Manning Warnings
When you schedule crew on an asset, Helm CONNECT checks their certifications against the requirements for their position and against the asset's safe manning rules. Any problems it finds appear as warnings on the schedule.
Certification warnings are about individual crew members. They tell you when a certification that a crew member's position requires is missing or expired. Safe manning is about the asset. It tells you whether the crew you've scheduled meets the asset's minimum requirements.
Before You Begin
Before certification and safe manning warnings can appear on your schedule, make sure you have the following set up:
- Show Certification Warnings and Show Safe Manning are turned on in your Crew Scheduling general settings. Learn how in the "Crew Scheduling: Set Up General Settings" article.
- The certifications each position requires are set up in the Requirements view on the Management > Certifications > Certification Requirements tab.
- Your safe manning rules are set up in the Safe Manning view on the same tab.
- (Optional) The certification types your assets can't operate without are marked Required to Operate on the Management > Certifications > Certification Types tab.
NoteSafe manning is available only if you use the new version of the Crew Certifications module.
Review Your Warnings
The Warnings icon is at the right end of the schedule toolbar. It shows a green check when there are no conflicts or warnings, and a red warning icon with a count when there are. The count includes both schedule conflicts and certification warnings.
The Warnings window has two tabs. The Schedule Conflicts tab lists crew who are scheduled in two places at the same time. The Warnings tab lists certification problems.
To review your warnings
- Go to the Personnel > Schedule > Schedule tab.
- Click the Warnings icon at the right end of the toolbar.
- Click the Warnings tab.
- (Optional) From the list beside the Download button, select Required to Operate or All.
- To see the schedule a warning belongs to, click the arrow at the start of its row.
What Each Warning Shows
Each warning shows its status, the crew member, and the certification type. "missing" means the crew member has no record of the certification. "expired" means the certification is on record but its expiry date has passed. Helm CONNECT flags an expired certification even when an expiry date isn't mandatory for that certification type.
When you expand a warning, you also see the asset, the position, and the start and end of the schedule.
Choose Which Warnings to Show
The list beside the Download button controls which warnings appear:
- Required to Operate: Only warnings for certification types marked Required to Operate.
- All: Every certification warning for the crew on your schedule.
Helm CONNECT remembers your choice, and the count on the Warnings icon changes to match it. If you see "No Warnings," switch to All to check for other warnings. A crew member can have a missing or expired certification that only appears under All.
Download Your Warnings
To download your warnings to Excel, click Download on the Warnings tab. The Excel file includes the crew member, asset, position, assignment dates, certification details, and status for each warning. The Download button is unavailable when there are no warnings to download.
See a Crew Member's Warnings on the Schedule
You don't have to open the Warnings window to check a single schedule. When a crew member has a certification warning, a warning icon appears at the right end of their schedule bar. Point at the bar to see the schedule's details. Any warnings are listed at the bottom, for example "CPR certification expired on May 20 2026."
Review Safe Manning
When safe manning is turned on, a Safe Manning row appears at the top of each asset on the schedule. Its bar is green with a check when the asset meets its requirements, and red with a warning icon when it doesn't.
To see why, double-click the Safe Manning bar. The number of issues appears at the top, and the details are grouped into the following sections.
Crew Certification Gaps
This section appears when a scheduled crew member is missing a certification that their position requires and that's marked Required to Operate. It lists each crew member with the certification and its problem, for example "No cert on record."
Minimum Manning
This section shows your safe manning rules. Each rule sets the minimum number of crew on the asset who must hold a certification. Each rule shows how many of the required crew meet it. Below that is one row for each required crew member, with a colored dot:
- Green: The crew member holds the certification.
- Orange: The crew member's certification has expired.
- Red: The crew member has no record of the certification.
- Gray: Nobody is scheduled, and the row shows Unfilled.
When a rule isn't met, a count beside its name shows how many are expired, missing, or unfilled. Point at a row to see the certification and its date.
Required Positions
This section shows the positions that must have someone assigned. Its heading starts with the position group's name, for example DEFAULT - REQUIRED POSITIONS. Each row shows the crew member scheduled in that position, or Unfilled if nobody is, and the count at the top shows how many positions are filled.
NoteIf the asset doesn't have any safe manning rules, a message tells you so, and only the positions appear.
Review Warnings During a Crew Change
Certification warnings also appear on crew changes on the Personnel > Schedule > Crew Changes and Onboard > Personnel > Crew Changes tabs. When a crew member has one or two warnings, you see them right away. When there are three or more, the list stays collapsed so the screen doesn't get crowded, and you click Show to see them.
