Crew Certifications: Overview
The Crew Certifications module in Helm CONNECT Personnel is a set of tools for tracking the certifications your crew need to do their jobs safely and stay compliant with the regulations that apply to your operation. With Crew Certifications, you can define which certifications matter to your operation, set requirements based on division, position, and asset, track who's certified and who isn't, and send email reminders before anything expires. Your crew can also submit their own certifications through My Helm for management to review.
When you go to the Management > Certifications tab, you'll see five tabs: Crew Certifications, Certification Categories, Certification Types, Certification Requirements, and Responsible Parties. Here's a quick look at what each one does.

Crew Certifications
The Crew Certifications tab is where you'll spend most of your time. This is where you add, edit, and review certifications for individual people on your crew. You can filter by expiration window, attach supporting documentation, and view the change log to see what's changed. Certifications your crew submits from My Helm also land here for management to review.

Certification Categories
The Certification Categories tab is where you set up broad groupings for your certifications, like Identification, Medical, or Training. Each category can have its own color, which carries through to other tabs to help you group certifications visually.

Certification Types
The Certification Types tab is where you define the specific certifications your crew can hold, like a Master 500 Gross Tonnage or a TWIC card. Each type belongs to one of the categories you set up. From here, you can configure whether documentation, expiration dates, or asset assignments are required when adding the certification, turn on email notifications for the crew, and define equivalencies for cases where one certification covers another.

Certification Requirements
The Certification Requirements tab is where you map certifications to the people who need them. It has two sub-tabs.
On the Requirements sub-tab, you set what certifications are needed based on division, position, asset, or crewing requirements.
On the Safe Manning sub-tab, you set minimum coverage rules, such as requiring at least one captain or pilot on a specific asset to hold a particular certification.

Responsible Parties
The Responsible Parties tab is where you set who gets notified when a certification is coming up for renewal. You can assign multiple people to the same certification type, or split the responsibility by lead time so different people are responsible for notices at different points before expiry. For example, one person could handle the 30-day notice while another handles the 60-day and 90-day notices.

Where Else You'll See Certifications
Certification information shows up in a few other places in Helm CONNECT:
- The Management > People > Certifications tab shows certifications for everyone in your organization.
- The Management > People > [person] > Certifications tab shows certifications for one specific person.
- The Onboard > Personnel > [person] > Certifications tab is a read-only view captains and other onboard users can use to check certifications for their crew.
- The My Helm > Profile > Certifications tab is where crew members submit and manage their own certifications.
