Configure Tasks to Require Approval Before They Can Be Closed
You can configure specific task types to require approval before a task can be closed. When someone completes a task of that type, it moves to an Awaiting Approval status instead of closing right away, giving someone with the appropriate permission a chance to review the work first.
Before You Begin
To approve tasks, you need one of these permissions:
- Maintenance > Settings > Can Approve Tasks: lets you approve tasks from most places in Helm CONNECT.
- Maintenance > Overview > Advanced Search > Settings > Tasks > Approve: lets you approve tasks from the Advanced Search views only.
How to Configure Approval on a Task Type
To require approval for a task type
- Go to the Setup > Maintenance > Task Types tab.
- Select the task type you want to configure, then click Edit.
- Select the Requires Approval checkbox.
- Click Save.
How the Approval Workflow Works
When someone completes a task that requires approval, it moves to an Awaiting Approval status instead of closing right away. The approver can open the task, review the completed work, and then approve or decline it.
Approving the task closes it and records the approval in the task history. Declining it moves the task to a Declined & Reopened status and sends it back to the assignee for corrections. The approver can add a note explaining what needs to be fixed. Once the assignee makes the changes, they can resubmit the task for approval.
What You Should Know
- The approval requirement applies when someone completes a task, not when it's created.
- If someone changes a task's type to one that requires approval before completing it, the approval workflow will apply.
- Approvers get an email notification when a task needs their review. Assignees get an email notification when their task is declined.
