Analytics: How to Use the Maintenance Pro Open Requisitions Dashboard
The Open Requisitions Dashboard gives procurement managers, fleet managers, and maintenance teams a real-time view of all active purchase requisitions across the fleet. It surfaces aging items, high-priority needs, and vendor ordering status in one place — so nothing slips through the cracks.
Key Features
The dashboard is built around two tabs — Open Requisitions and Closed Requisitions — giving you a focused view of what's still in progress. At a glance you can see:
Total count and value of open requisitions by status
High Priority and Overdue requisition flags
Requisitions for Critical Components
The 10 oldest open requisitions that need attention
Open requisitions broken down by asset
Ordered requisition line items broken down by vendor
A detailed Overdue Requisitions table with direct drill-through links
NoteThe default date range is This and Last 6 Months. All counts, prices, and quantities on the dashboard reflect this window unless you change the Created Date filter.
Filters
All filters are on the right-hand panel. Changes apply instantly across all visuals on the dashboard.
Filter | What It Does |

Created Date | Sets the date range for requisitions shown across the entire dashboard. Default: This and Last 6 Months. |
Status | Filter to one or more requisition statuses: New, Confirmed, Ordered, Received On Shore, Awaiting Approval. Clicking a status KPI card at the top also applies this filter. |
Vendor Name | Narrow down to specific suppliers to track vendor-level ordering activity. |
Critical Components | Toggle to true to focus only on requisitions flagged as critical components. |
Overdue Status | Toggle to Overdue to surface only past-due requisitions across all visuals. |
Use Reset Filters at the top of the dashboard to return to the default view.
Dashboard Visuals
Status KPI Cards
The top row of cards breaks down the total open requisition count and value by workflow status:
Total — All open requisitions in the selected date range (count, total price, and total quantity)
New — Requisitions just created, not yet actioned
Confirmed — Requisitions that have been reviewed and confirmed
Ordered — Purchase orders raised with a vendor
Received On Shore — Goods received at a shore location, pending delivery to the vessel
Awaiting Approval — Requisitions pending an approval decision
Clicking any status card filters the entire dashboard to that status only. Click again (or use Reset Filters) to clear.
Highlight Cards (Left Panel)
Below the status row, three summary cards flag items that need immediate attention:
High Priority — Requisitions marked as high priority. The count, total price, and quantity update with your filter selections.
Overdue — Requisitions where the due date has passed. Highlighted with a red border as a visual alert.
Req. for Critical Components — Requisitions flagged as critical components. Highlighted with a yellow border.
Clicking any of these cards acts as a quick filter — the rest of the dashboard will update to show only those requisitions.
Top 10 Oldest Requisitions Table
This table lists the 10 requisitions that have been open the longest, ranked by Days in Current Status. Columns include:
Name — Requisition description
External Number — The requisition or order reference number
Created Date — When the requisition was raised
Due Date — Expected delivery or completion date (N/A if not set)
Status — Current workflow status shown as a colour-coded label
Days in Current Status — How long the requisition has been sitting at its current stage
Example use: Use this table to quickly identify stalled requisitions — items sitting at New for 300+ days are likely forgotten and should be followed up or cancelled.
Open Requisitions By Asset
A horizontal bar chart showing which assets have the most open requisitions. Each bar represents one vessel or asset, with the count shown at the end of the bar. This helps you spot which vessels have the most outstanding procurement activity.
Example use: If one vessel consistently tops this chart, it may indicate deferred maintenance, supply chain issues, or a need for better stocking levels onboard.
Ordered Requisition Line Items by Vendor
A bar chart showing how many ordered line items are currently outstanding per vendor. This gives procurement teams visibility into vendor workload and helps identify suppliers with a high volume of open orders.
Example use: If one vendor holds a disproportionate number of ordered items, you can follow up on delivery timelines proactively.
Overdue Requisitions Table
A detailed table listing all overdue requisitions. This appears when the Overdue Status filter is active, or when you click the Overdue highlight card. Columns include:
Name — Requisition description
External Number — Reference number
Created Date / Due Date — Date context for how overdue the item is
Status — Current workflow status
Days in Current Status — Time stuck at this stage
# Line Items — Number of individual items on the requisition
Qty — Total quantity ordered
View — A button that opens the requisition directly in Helm CONNECT for review or action
NoteThe View button in the Overdue Requisitions table opens the requisition in Helm CONNECT. This is the fastest way to action an overdue item without leaving the dashboard context.
How to Use the Dashboard
Start with the Status KPI cards to get a sense of where requisitions are piling up in your workflow. A large number in New may suggest items haven't been reviewed; a large number in Ordered may suggest delivery delays.
Click the Overdue highlight card to immediately surface past-due items. Use the Overdue Requisitions table to review each item and click View to take action directly in Helm CONNECT.
Check High Priority and Critical Components cards to ensure nothing urgent is sitting unresolved.
Review the Top 10 Oldest Requisitions table to find items that have been stagnant for a long time. Focus on those with the highest Days in Current Status.
Use the Open Requisitions By Asset chart to identify vessels with high requisition backlogs and investigate whether a follow-up is needed.
Check Ordered Requisitions by Vendor to monitor supplier workload and flag overdue deliveries for follow-up.
Use the Status filter on the right panel to focus on a specific stage, or click a KPI card at the top to filter the whole dashboard to that status.
Adjust the Created Date filter if you need to look at a broader or narrower time window than the default 6-month range.
Notes on the Data Presented
The default date range is This and Last 6 Months based on the requisition Created Date. Older requisitions will not appear unless you change this filter.
Prices shown are the requisition line item prices as entered in Helm CONNECT — they may differ from final invoiced amounts.
The Closed Requisitions tab (accessible at the top of the dashboard) shows completed and closed requisitions. Use it to review historical procurement activity.
Overdue status is determined by the requisition Due Date. Items with no Due Date set will not appear as Overdue.
The View button in the Overdue Requisitions table links directly to the requisition record in Helm CONNECT — users must have access to that record to open it.
