Analytics: How to Use the Maintenance Pro Certifications Dashboard

The Certifications Dashboard gives fleet managers, safety officers, and operations staff a real-time view of certification compliance across both crew and assets. It surfaces expired, expiring, and unsubmitted certifications so you can take action before issues affect operations or regulatory standing.

The dashboard is split into two tabs — Asset Certifications and Crew Certifications — each providing its own set of KPIs, charts, and detailed expiry tables drawn from Helm CONNECT data.

Provides a fleet-wide view of asset certification compliance — covering vessels and other tracked assets.

• # Assets with Expired Certificates: The count of distinct assets that currently have at least one expired certification.

• # Expired Certificates: The total number of individual expired certification records across all assets.

• # Assets without Certificates: Count of assets that have no certifications recorded at all.

Example: If you see 271 assets with expired certificates and 977 expired certificate records, that means many assets carry multiple expired items — use the expiry breakdown to prioritise the most critical ones.

Example: Switching to Cert Category view may reveal that "ABC" certifications account for the majority of expired records — pointing to a systemic gap in one category rather than individual asset neglect.

The table displays 15 results per page. Navigate using the page controls at the bottom.

Mirrors the structure of the Asset tab but focused on crew members — covering all certifications tracked against individuals in Helm CONNECT.

• # Crews with Expired Certificates: The number of crew members with at least one expired certification.

• # Expired Certificates: Total expired certification records across all crew.

• # Crews without Certificates: Count of crew with no certifications on record.

• Position: Aggregates expired certifications by crew role (e.g., Master, Deckhand, Captain) — useful for identifying whether a particular role type is systemically non-compliant.

1. Choose your tab — select Asset Certifications to review fleet compliance, or Crew Certifications to review individual crew compliance.

2. Review the KPI card at the top left to get an immediate count of how many assets or crew have expired certifications and how many certificates are expired in total.

3. Check the pie chart to understand the overall split across Active, Expired, No Expiry Date, and Not submitted yet. A large "Not submitted yet" slice may indicate a data entry gap rather than a true compliance issue.

4. Use the Expiry Status bar chart to understand urgency — focus on the red (Expired) and orange/yellow (7-day and 15-day) bands first.

5. Use the Expired Certifications bar chart to identify which assets, crew, or categories carry the most expired records: Switch to Cert Category view to identify systemic gaps (e.g., all Lifesaving certs across the fleet are expired). Switch to Position view (Crew tab) to identify role-level compliance patterns.

6. Apply filters on the right panel to narrow the view — for example, filter by Division to focus on one region, or filter by Required To Operate to isolate only operationally critical gaps.

7. Scroll down to the Expiry Date matrix to get a certification-by-certification view across all assets or crew. Use this to identify which specific certificates need attention.

8. Use the Detail table at the bottom for a full record-level list. Click the View button (Asset tab) on any row to open the corresponding record directly in Helm CONNECT.

• The dashboard reflects data as it exists in Helm CONNECT. If a certification is not entered or uploaded in Helm CONNECT, it will appear as Not submitted yet — this is a data completeness issue, not necessarily a compliance failure.

• Certifications marked No Expiry Date are valid records that simply do not have a time-limited expiry — these are not a compliance concern unless the certification type should have one.

• The expiry status colour coding follows a consistent scheme across both tabs: red = expired, orange/yellow = expiring within 7–30 days, green = more than 30 days remaining, teal = no expiry date, grey = not submitted yet.

• The Expiry Date matrix table only shows certifications applicable to each asset or crew member — a grey icon (not a badge) means that certification type does not apply to that record.

• Crew and asset counts in the tables reflect all records in the system regardless of active operational status. Filter by Division or Asset Type to narrow to relevant subsets.
