Analytics: How to Use the Maintenance Pro Inventory Dashboard
The Inventory Dashboard gives fleet managers, maintenance coordinators, and procurement teams a real-time snapshot of parts health across the entire fleet. It answers two fundamental questions: Are our vessels stocked with the parts they need? and What is our inventory actually worth? Two tabs — Inventory Health and Inventory Worth — each focus on one of these dimensions.
NoteThe dashboard reflects current stock levels as recorded in Helm CONNECT. Use the Asset, Part Category, Part, and Inventory Status filters on the right panel to focus your analysis. Changes apply instantly across all visuals.
Dashboard Structure
At the top of the dashboard, two interactive panels let you quickly navigate and filter all data:
Status bar — Shows part counts across four stock conditions: Out of Stock, Below Min, In Stock, and Overstocked. Clicking any pill filters the entire dashboard to that status.
Category bar — Shows part counts by part category (e.g. Filters, Valve). Clicking a category filters the dashboard to that category only.
Both bars update in real time as filters are applied. Click the Reset Filters, to clear the selection.
A Search parts field with a Search button allows you to look up a specific part by name and filter all visuals to that part.
Filters
All filters are on the right-hand panel and apply across all visuals on the active tab.
Filter | What It Does |
|---|---|
Asset | Focus on one or more specific vessels or assets to see their inventory health and worth in isolation. |
Part Category | Filter to a specific category of parts. Same as clicking the category in the top Category bar. |
Part | Filter to a specific part name across all assets and categories. |
Inventory Status | Filter by stock health status: In Stock, Out of Stock, Below Min, Overstocked. Same as clicking a pill in the top Status bar. |
Top-Level KPI Cards
Below the Status and Category bars, four KPI cards summarise the current state of inventory across the selected filters:
KPI Card | What It Shows |
|---|---|
# Tracked Parts | Total number of parts being tracked in the current selection. Also shows how many are flagged as critical spares. |
Inventory Value | Total value of all parts on hand, plus total units on hand. Updates when filters are applied. |
Below Minimum | Count of parts where current stock is below the defined minimum quantity. Also shows how many of those are flagged as critical. |
In Healthy Range | Count of parts that are in stock and within the healthy range. Also shows how many are overstocked. |
Inventory Health Tab
Click INVENTORY HEALTH in the section banner to access this tab. It focuses on whether parts are available — surfacing gaps, reorder needs, and the overall in-stock/out-of-stock split across the fleet.
Stock Level by Parts
A horizontal bar chart ranking parts by their current total quantity on hand, highest first. Each bar shows the part name and quantity. Green bars indicate in-stock parts; Hover over a bar to see the exact quantity and full part name.
This chart helps you quickly identify which parts have large quantities on hand versus those sitting at zero across the fleet.
Example use: Filter the Category bar to Machinery Main Components, then scan this chart to see which machine parts are well-stocked and which are absent fleet-wide.
Health Distribution (Donut Chart)
A donut chart showing the percentage split of tracked parts by health status:
In Stock (green) — Parts with quantity above minimum
Out of Stock (red) — Parts with zero quantity on hand
Below Min(orange) — Parts with below minimum quantity
Overstocked(blue) - Parts with quantity above maximum
The chart updates dynamically with all filters. Clicking a segment in the chart applies that status as a filter across the whole dashboard.
Example use: Click the Out of Stock segment to instantly see only the parts with zero stock, then scroll down to the Parts Needing Reorder table to identify what needs ordering and for which vessel.
Parts Needing Reorder
A detailed table listing every part that has fallen below its minimum quantity threshold, grouped by asset. Columns include:
Asset Name — The vessel the part belongs to
Part Name — The specific part below minimum
Min Qty — The minimum quantity threshold defined in Helm CONNECT
Stock — Current quantity on hand
Priority — Whether the part is flagged as Critical or Non-Critical, shown as a colour-coded label
Shortfall — The gap between current stock and minimum quantity (shown as a negative number)
The table is paginated — use the page controls at the bottom to navigate through all results. The default shows 15 rows per page.
Example use: Sort or filter by the Priority column to action Critical parts first. The Shortfall column shows exactly how many units need to be ordered to reach the minimum level.
Parts Catalog
A comprehensive table listing all tracked parts across all assets with their full inventory details. Columns include:
Asset Name — The vessel the part is assigned to
Part Name — Part description
Part Category — The category the part belongs to
Min Qty — Minimum required quantity (N/A if not set)
Max Qty — Maximum stocking quantity (N/A if not set)
Total Qty — Current quantity on hand
Total Value — Current stock value based on unit cost
Health Status — Stock condition shown as a colour-coded label (e.g. Out of Stock)
This table serves as the full inventory record. Use the Part or Part Category filters to narrow it to specific items or categories for detailed review.
Inventory Worth Tab
Click INVENTORY WORTH in the section banner to access this tab. It focuses on what the inventory is worth — showing value by asset, category, and individual part so you can understand where capital is tied up across the fleet.
Inventory Value by Asset
A bar chart ranking vessels by total inventory value on hand. Each bar is labelled with the value. This immediately shows which assets carry the highest stocked inventory value — useful for understanding capital allocation and identifying vessels that may be overstocked relative to others.
A horizontal scroll bar at the bottom lets you navigate across all assets in the fleet. Clicking a bar filters the entire tab to that asset.
Example use: If one vessel shows $975K in inventory while most others show under $100K, that may warrant a review of whether stocking levels are appropriate or whether parts could be redistributed.
Value by Category (Donut Chart)
A donut chart showing inventory value distributed across part categories. Each segment is colour-coded by category and labelled with a percentage. The legend below the chart identifies each category.
This helps procurement and finance teams understand where inventory spend is concentrated — whether it's predominantly in machinery components, ship equipment, hull parts, or other categories.
Example use: If one category (e.g. Electricals) represents a disproportionate share of value, it may be worth reviewing whether those stocking levels are justified by maintenance schedules.
Inventory Value by Part
A horizontal bar chart ranking individual parts by their total fleet-wide inventory value. Each bar shows the part name and value. This highlights which specific items represent the largest capital investment across the fleet.
Hover over any bar for the exact value. The chart is scrollable — use the scroll controls to move through all parts.
Example use: High-value parts with large quantities may be candidates for minimum/maximum quantity reviews to avoid unnecessary capital lock-up.
Parts Catalog
The same comprehensive parts catalog appears on this tab, showing all tracked parts with their Min Qty, Max Qty, Total Qty, Total Value, and Health Status — allowing you to cross-reference individual parts against the value charts above.
How to Use the Dashboard
Start with the Status bar at the top to get a fleet-wide count of Out of Stock, Below Min, In Stock, and Overstocked parts — this gives you the headline picture before drilling in.
Click "Out of Stock" or "Below Min" in the Status bar to immediately filter the entire dashboard to parts needing attention. Scroll to the Parts Needing Reorder table to see exactly which parts, on which vessels, are below threshold.
Prioritise Critical parts in the Parts Needing Reorder table — sort or scan for the red Critical priority label and use the Shortfall column to determine order quantities.
Use the Category bar to focus on a specific equipment category. This is useful for targeted reviews — e.g. reviewing all Machinery Main Components across the fleet before a dry-dock period.
Use the Asset filter on the right panel to scope the dashboard to a single vessel for vessel-specific inventory reviews or pre-departure checks.
Switch to the Inventory Worth tab to understand the value of current stock. Use Inventory Value by Asset to compare capital allocation across the fleet, and Value by Category to see where spend is concentrated.
Use the Parts Catalog table on either tab as the full reference list — it shows every tracked part, its stocking parameters, current quantity, and health status. Filter by Part Category or Part to narrow it to what you need.
Use the Search parts field to quickly find a specific part by name and see its stock status across all assets.
Notes on the Data Presented
Stock levels and values reflect what is recorded in Helm CONNECT at the time the dashboard last refreshed. The Last Updated timestamp at the top-left shows the most recent data load time.
Parts with no minimum quantity defined will not appear in the Parts Needing Reorder table, even if their stock is zero. Min/Max quantities must be configured in Helm CONNECT for reorder alerts to trigger.
The Inventory Value KPI and the Inventory Worth tab are based on the average unit cost recorded against part in requisition within Helm CONNECT. Parts with no cost recorded will show a value of zero or N/A.
The Critical spares count shown in the # Tracked Parts KPI reflects parts flagged as critical spares in Helm CONNECT.
