Assets
You can add an asset to Helm CONNECT then edit that asset to include more information.
Add an asset
Adding new assets is a two-step process. First, you add an asset with some basic information: name, short name, and division. Next, you edit the asset to add more details, including an image, effective date, assigned crew, and responsible parties.
To add a new asset
- From the Management menu, select Assets.
- Click the Assets tab.
- Click New Asset.
- In the New Asset window, enter a name and a short name.
Here are a few things to remember:
- Only the Name and Short Name fields are required.
- If you select an Asset Type, any certifications required by that asset type will apply to the new asset.
- If you don't select a Division, the asset will belong to your company's default division. If you have only one division, all your assets will be assigned to it automatically.
- If you select an Effective Date, this is the date the asset becomes active in the system. If you add an effective date, the system will compare that date to the effective date of any templates published to that asset. An overdue checklist will appear only if the effective date of the template is on or after the effective date of the asset, and the checklist wasn't completed on time according to its schedule.
- To save the new asset, click Save.
Edit the asset to add more details
To edit an asset
- From the Management menu, select Assets.
- Click the Assets tab.
- Click one of the asset cards.
Tip To find what you're looking for more quickly, use the filters at the top of the tab to narrow the list.
- Click the Details sub tab.
- Click Edit.
- (Optional) Click the Responsible Parties field and select the names of the people who should receive email notifications about this asset.
Note The responsible parties will receive email notifications each time someone creates a new task for this asset in either Onboard > Logs or in Onboard > Overview and assigns it to shore.
- Make any other changes or additions required.
- Do one of the following:
- To save your changes, click Save.
- To discard your changes, click Discard.

More about assets
Now that you know how to add and edit an asset, let's take a closer look at some of the things you should keep in mind about your assets.
Divisions
Divisions help you control the data your users can access in Helm CONNECT. All your users, personnel, and assets must belong to a division.
Asset types
Asset types do a lot of work throughout Helm CONNECT and are found within most product lines. You will encounter asset types both when you are first setting up your system and while you perform your daily activities.
Within the Asset Tracking module, asset types control how asset certification templates are applied to groups of assets.
Within Helm CONNECT Maintenance, especially in the Inventory and Requisitions modules, asset types:
- Filter the list of parts available to be assigned to an asset
- Control which parts will show up as options for requisition line items
- Control which parts show up as options for requisition templates
- Control which parts show up as options for the part usage item types in maintenance templates
Within Helm CONNECT Personnel, asset types:
- Configure which default fields and custom fields are visible and/or required in time sheets
- Control approval polices on shore for crew changes and time sheet entries
Within Reporting, asset types appears as a filter in a number of key reports.
Assigned crew
The Assigned Crew field allows you to assign users to an asset and limit the information they can access from the Onboard menu in Helm CONNECT on shore. If assigned to a specific asset, a user will only be able to access information related to that asset.
Note This feature does not currently apply to any items associated with Helm CONNECT Jobs or Helm CONNECT Personnel.
Before you select a user's name in the Assigned Crew list, you must first check that all the following conditions apply:
- The user is either in the parent division or the same division as the asset. You can check this on the Setup > Users > Users tab.
- The user's role has permission only to items on the Onboard menu. You can check this on the Setup > Users > Roles tab.
- The Limit to Assigned Asset check box is selected on the user's profile. You can check this on the Setup > Users > Users tab.
- The users hasn't already been assigned to another asset. Each user can only be assigned to one asset at a time, although you can reassign them whenever you need to.
Responsible parties
Use the Responsible Parties list to select who will receive email notifications when tasks are created for this asset and assigned to shore.
Note The responsible parties will receive email notifications each time someone creates a new task for this asset in either Onboard > Logs or in Onboard > Overview and assigns it to shore.
Note To receive email notifications for Helm CONNECT, you must be an active employee, be able to log in to Helm CONNECT, and have a valid email address in the system.
Custom fields
Asset custom fields allow you to track and report on additional information about your assets that may not be captured by the stock fields in Helm CONNECT.
From the Management > Assets > Assets > Details sub-tab, you can add new asset custom fields, configure them by division, and organize them into groups to make them easier to use.
From the Setup > Operations > Custom Fields tab, you can rename or delete existing asset custom fields.
Operating areas
The Operating Areas field is only used within Helm CONNECT Jobs.
